Job Description Summary
In collaboration with the College of Liberal and Professional Studies (LPS), this position will be divided between the Masters of Environmental Studies (MES, 25%), the Master of Science in Applied Geosciences (MSAG, 25%), and Master of Chemical Sciences (MCS, 50%). The Administrative Coordinator provides enrollment support for prospects and applicants and prompt and accurate responses to current student inquiries thereby ensuring student satisfaction and operational efficiency. The Administrative Coordinator assists with student communications, such as academic standing and research award letters, alumni outreach, and exit surveys; supports event planning for all programs; acts as liaison with the Business Office including, form preparation and documentation; and, maintains 'work-flow' documentation. S/he runs reports of student data from the University Student Records System (SRS) and data warehouse. This position maintains the appointment calendars for program directors and coordinates limited financial transactions.
Job Description
OVERVIEW OF LPS The University of Pennsylvania's College of Liberal and Professional Studies (LPS) is housed within Penn's School of Arts & Sciences, the area of the University that is home to the humanities, social sciences, and natural sciences. LPS offers an extraordinary education to highly qualified adult students. Some of our students seek to begin or complete their bachelor's degrees, but in recent years LPS has also become a magnet for students seeking post-baccalaureate study in professional master's and pre-professional programs in the humanities, natural, and social sciences.
The Administrative Coordinator provides enrollment support for prospects and applicants and prompt and accurate responses to current student inquiries thereby ensuring student satisfaction and operational efficiency. This position supports the LPS Masters of Environmental Studies (MES), the Master of Science in Applied Geosciences (MSAG), and Master of Chemical Sciences (MCS).  The Administrative Coordinator assists with student communications, such as academic standing and research award letters, alumni outreach, social media including Canvas Communities, and exit surveys; supports event planning for assigned programs; coordinates course rostering and registration functions; acts as liaison with the Business Office including, form preparation and documentation; and, maintains 'work-flow' documentation. S/he runs reports of student data from the University Student Records System (SRS) and data warehouse. This position also maintains the appointments calendar for program directors and coordinates limited financial transactions including coordinating multiple travelers and currencies as well as preparing staff/students for domestic and international travel. The Administrative Coordinator interacts with important external constituents, and therefore must prioritize while delivering a very high level of service. Responsible for developing and maintaining communications, fielding inquiries, and guiding both graduate students and faculty through a variety of University policies, resources, and procedures.

Qualifications
High School degree and five to seven years of experience, or equivalent combination of education and experience, required. Bachelor's strongly preferred. Strong written and verbal communication skills as well as excellent organizational skills are required. The ability to manage multiple tasks and meet demanding deadlines is required. Strong initiative and ability to work independently as well as with a team are essential. Computer proficiency essential including: MS Word, Excel, Power Point and Access. Knowledge of Canvas, Concur, Hootsuite, Facebook and Twitter a plus. Respect for confidentiality is essential. Ability to work occasional weekends and evenings required.
