PROGRAM ASSISTANT
Administrative Support Assistant II, #170174
Geosciences & Environment

Salary Range: $2,539-$4,202Monthly

Work Schedule: Full-time, Monday - Friday, 8:00 am - 5:00 pm; non-exempt
position; temporary appointment expires on or before one year from the date
of hire; may be extended; may become permanent.

Essential Functions: This position will support the NASA Data Intensive
Research and Education Center for Science, Technology, Engineering and
Mathematics (DIRECT-STEM) housed within the Department of Geosciences and
Environment. The incumbent is primarily responsible for providing general
office and administrative support for the director, students, faculty and
staff of the center. The incumbent is responsible for: communication with
student applicants; electronic record keeping; scheduling appointments;
processing of documents and records including scholarship payments and
travel arrangements; gathering data, and preparing standard reports; issuing
registration permits; processing all student data through the creation of
digital application files; sending required paperwork to all admitted center
students; and Moodle files, video production, and all website related
content. The incumbent will plan events: workshops which are held every
month; multi-disciplinary seminars; guest lectures; NASA on-site
visitations; annual internal and external advisory committee meetings; and
the Annual DIRECT-STEM symposium in April. The incumbent will: coordinate
all email notification of events; update the website accordingly; place
classroom reservations; order catering from UAS; manage the payment of
stipends each semester in a timely manner by coordinating paperwork with the
students, Financial Aid, and UAS; manage the center's schedule and ensure
that all students and faculty are up to date; arrange the on and off campus
meetings of DIRECT-STEM's partners, UC Irvine and JPL; coordinate the
quarterly reports from students and faculty; and maintain an updated record
for NASA and MIRO to meet federal and state requirements. The incumbent will
be handling some tasks with the Geosciences and Environment Department as
well. The incumbent will: handle and organize documentation for graduate
student applications for the department by coordinating with the graduate
admissions committee; answer telephone calls; manage faculty and student
request;, and write class permission assignments.

Required Qualifications & Experience: Equivalent to two years of full-time
general office experience. Incumbent must possess: a sound foundation in
English grammar, spelling and punctuation; extensive knowledge of event
planning and coordination; knowledge of standard office procedures and
practices; and excellent oral and written communication skills. Incumbent
must have the ability to: respond to routine inquiries; explain standard
policies and procedures to others; use fundamental writing and presentation
skills to effectively communicate standard information; follow established
procedures; maintain a high level of accuracy; and maintain cooperative
working relationships. Demonstrated interest and/or ability to work in a
multicultural/multiethnic environment. A background check (including a
criminal records check) must be completed satisfactorily before any
candidate can be offered a position with the CSU. Failure to satisfactorily
complete the background check may affect the application status of
applicants or continued employment of current CSU employees who may apply
for the position.
