Tetra Tech, Inc., is currently seeking a Marine Sciences Administrator to support our marine services of one or more senior level personnel.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  *   Provides administrative support for the Geosciences/Marine Mapping Group (approx. 17 staff) and general office support to the Bothell office
  *   Keeps track of PHSE equipment and processes monthly project billings
  *   Assists in preparation of time keeping and expense reports
  *   Processes expense reports and manual timesheets as directed
  *   Enters and updates proposal activity in the BD Portal and maintains a BD report for the group
  *   Tracks and maintains spreadsheet of personnel certifications – First Aid, HAZWOPER, DOT/Hazmat, OSHA, STCW
  *   Generates purchase requisitions and support Capital Asset purchases; facilitates and follows up on POs with Procurement
  *   Submits new vendor setup in Tetra Linx System
  *   Drafts subcontractor scopes of work
  *   Data entry; QA/QC documents, generate IPPs
  *   Assists with project staff scheduling, coordination, and organization
  *   Maintains employees’ schedule on MS Project file
  *   Coordinates and communicates with vendors in support of project and PHSE equipment pool
  *   Software summary – keeps track of hydrographic survey software and maintenance agreements
  *   Establishes and maintains administrative files
  *   Creates and maintains project files
  *   P-Card purchases and monthly statement reconciliation for Marine Services Group
  *   Reconciles subcontract invoices; follows up with A/P
  *   Obtains invoice backup as needed for A/R
  *   Tracks purchase orders
  *   Arranges travel and update travel profiles; schedules meetings; arranges departmental teleconferences and webinars
  *   Arranges border clearance of personnel and equipment
  *   Coordinates personnel Visas
  *   Coordinates with Human Resources for Business Travel Letter when required
  *   Schedules appointments
  *   Attends staff meetings/client meetings to take minutes and distributes as directed by Lead
  *   Provides front desk coverage on Tuesdays, Wednesdays, and Fridays, or as needed for fill in
  *   Coordinates package delivery with courier service
  *   Prepares outgoing mail, i.e. FedEx and US Postal Service requirements as necessary
  *   Arranges and/or assists with equipment/freight shipping (freight forwarder, FedEx, international, boat/truck transport)
  *   Routes and delivers incoming mail and faxes
  *   Photocopies, scan, and/or faxes correspondence or other printed material (reports, agendas, minutes, etc.)
  *   Requisition office supplies as needed for internal/external client support
  *   Assists with conference registrations
  *   Coordinate the purchase and delivery of Holiday cards and gifts baskets in December
  *   Coordinates with local caterers/vendors to supply food for on-site meetings/conferences


EDUCATION, EXPERIENCE AND QUALIFICATION:

  *   Education Level:  Associates or Bachelor’s Degree (Bachelor’s preferred but not required)
  *   Minimum Experience of relevant work experience:  1+ to 5 years
  *   Note: Work experience can be substituted for education above high school at 2 years directly applicable experience for 1 year of schooling
  *   Career Level:  Entry level to Experienced (Experience preferred)
  *   Advertised Job Title:  Marine Services Administrator

Other Required Skills Word Processing, Personal Computer
MS Office (Word, Excel, and PowerPoint; MS Project is a plus); Microsoft Outlook, SharePoint
